Overview
All Experiences created previously are available to advisors to review and use as examples for creating future Experiences. In addition, advisors can "publish" templates of successful Experiences to the Experience Warehouse for easy selection and assignment to students.
This article explains how to use the Search function to find Experiences based on various criteria. You can search active experiences or the Warehouse; you can then create fresh copies of these found experiences to reuse them as new experiences.
Students can also search the Experience Warehouse for examples to use in proposing new Experiences to their advisors.
Contents
Search Experiences (Advisors Only)
This is a typical view when an advisor selects the Quick Actions 'Search Experiences' menu option.
Experiences listed in the result of the Basic and Advanced Search can be viewed but not edited. Note that these experiences are still considered active, so to speak, even if they are in "completed" status. This means they still have student information and evaluation data attached.
However, a copy of an Experience can be modified and assigned to students or published to the Warehouse. Experience templates that are selected from the Experience Warehouse can be modified and assigned to students or selected directly by students.
Basic Search
Search and Filter Options
Search Title and Description
If you know the Title or Description of the Experience you are looking for, you can type it here and click on the 'Search' button to the right. The list that Foundry presents will contain the words that you entered.
Experience Members
Just like it says, if you remember a student that was a member of the project, you can reach the experience by the name entered in this field.
Search by Group
Select the group and click on the Search button to initiate the search.
Experience Planning Form
Don't remember a student or group that was working the specific Experience, but maybe remember the type of Project it was? If you know the name of the Experience form type, you can search by it and retrieve a list of projects made in that form.
Search by Status
Finally, you can further refine the search by restricting it to only those experiences that are in a specific state of progress or status.
Advanced Search
Search and Filter options
These options are in addition to the options described in the 'Basic Search' section above. All options can be used in combination to further limit the results.
Search by Learning Targets
Search by Date
This option consists of 3 fields:
- Select Type: status of the experience at the time of this search
- From Date: the earliest date this Experience plan could have been in the status requested.
- To Date: The latest date this Experience plan would have been in the status requested.
Sort by
This option will sort the Experiences by Name or by End Date.
Review results
The Results of each of the first two search options display immediately below the search box in a list.
There are two actions possible from this results list: View Experience Summary and Create a Copy of this Experience:
1. View Experience Summary
'View Experience Summary' will open the entire plan in non-editable mode with all the details of the plan, including student members of the experience, as well as the targets, grades, and credits earned. This is the view you would see when completing an experience evaluation.
2. Create a Copy of this Experience
To use the Experience plan again, it needs to be copied and modified, or published to the Warehouse. If you like a specific Experience, you can publish it to the warehouse as follows:
- Click on the 'Create a copy of the Experience' to the right of Experience in the list. This will open the Experience plan in a new window. Note that personally identifiable information such as the name of the originally assigned Experience members has been removed.
- Make any modifications to the plan.
- Select 'Assign to Students' or 'Publish to the Warehouse' at the bottom of the form.
The new Experience plan is now either assigned to new students or added to the Warehouse as a template for future use.
Experience Warehouse
Note: this is the same functionality as selecting 'Search in Warehouse'.
Search in Warehouse (Advisors and Students)
Only Experience plans that have been previously published to the Experience Warehouse (see below) are searchable with the options described here. These experiences have been scrubbed of individual student information and evaluation data, and retain only the experience plan information. This includes content and skills targets assigned to the original plan.
Search Title and Description
Search by Date Range Completed
Search by Subject and Learning Target
Searching the warehouse by Subject will show only those Experiences that include a Subject from your Learning Target Set:
or, more specifically, a Target from your Learning Target Set:
Review results
The Results display immediately below the search box in a list.
There are three actions possible from this results list: View Experience Plan, Create a New Experience, or Remove from Local Warehouse.
1. View Experience Plan
'View Experience Plan' will open the selected plan in non-editable mode with all the details of the template for your review. If you find the selected plan is the basis for creating a new Experience plan or assignment to students or publishing to the Warehouse, then select 'Edit Plan' as shown below.
2. Create a New Experience
'Create a New Experience' will directly open the selected plan in editable mode to create a new Experience for assignment to students or publishing to the Warehouse.
3. Remove from Local Warehouse
This option will "unpublish" the experience, so it will no longer be available for re-use. This does not have any affect on the existing experience, student work, or evaluation data - all of this is scrubbed when an experience plan is "published."
